How to create a professional invoice PDF
- Open Free Invoice Maker and choose the invoice tool.
- Enter the issuing business information exactly as it should appear.
- Add the customer’s correct name and relevant contact or address details.
- Enter an invoice number, issue date, due date and payment terms.
- Add each product or service as a separate line with description, quantity and unit price.
- Enter valid tax and an agreed discount only when they apply.
- Review subtotal, adjustments and final amount, then check spelling and dates.
- Generate the invoice, preview the page, download the PDF and open it once.
- Rename or file the document clearly, then share it with the intended customer.
A good invoice lets the recipient understand what they owe and why. Avoid vague descriptions, unexplained charges and missing dates. The app calculates from your entries but cannot verify the commercial or tax decisions behind them.

How to make a payment receipt
- Confirm that payment has actually been received.
- Select Receipt Maker and enter the business and customer details.
- Record the amount and transaction description accurately.
- Add the correct receipt reference and payment date.
- Review the document so it does not imply more was paid than received.
- Generate and download the receipt PDF.
- Give the customer the final copy and store your business copy securely.
A receipt acknowledges payment; it is not a request for payment. If payment is partial, describe that fact clearly and ensure your remaining balance process is accurate. Do not issue duplicate receipts carelessly, because duplicates can confuse records.
How to create a quotation or estimate
- Choose Quotation Maker before the proposed work or sale is finalized.
- Identify the supplier and prospective customer.
- Describe the proposed products or services in enough detail to understand scope.
- Add quantities, prices, tax treatment and discounts that form part of the proposal.
- State validity dates, assumptions, exclusions or relevant terms in the available fields.
- Check calculations and make sure the quotation does not claim payment was received.
- Export the PDF and share it for the customer’s review.
Pricing conversations often change. If the scope changes, create a revised quotation with clear identification instead of silently editing a document the customer already approved. Retain the accepted version according to your normal sales records.
How to generate a delivery waybill
- Select Waybill Maker when goods are being prepared for delivery.
- Add correct sender and receiver information.
- Describe the goods, quantities and relevant delivery details.
- Enter a useful reference number that connects the movement to your order records.
- Review names, addresses and items with the physical shipment.
- Generate a printable PDF and provide copies according to your delivery process.
A waybill helps document product movement, but shipment requirements vary. Confirm whether a carrier, customs authority or local rule requires other documentation. Do not treat this tutorial as transport or customs advice.
How to check tax, discounts and totals
Start with line items: confirm quantity multiplied by unit price. Add the item amounts and compare that result with the displayed subtotal. Check whether a discount is fixed or percentage-based in your commercial agreement, and confirm the value entered. Determine the correct tax basis and rate independently. Finally, calculate an expected total outside the app for comparison when the transaction is important or unusually complex.
If the displayed amount differs, inspect decimal placement and duplicate lines before reporting a software issue. A price entered as 1000 instead of 100.00 creates a calculation that is mathematically valid but commercially wrong.
How to download, find and print a PDF
After generating the document, use the download or save action and complete any Android file prompt. Open Files, then check Recent or Downloads. Search by the document reference or PDF extension if it is not visible. Open the file in a trusted PDF viewer and review it before printing. Use the viewer’s Print option and an available Android print service, or transfer the PDF to a computer.
Adopt a filename such as invoice-1042-customer-2026-08-24.pdf. Avoid putting sensitive identity details in filenames, because filenames may appear in notifications, backups and recent-file lists.
How to share a document safely
Confirm that the PDF is the final version, choose Share, select an appropriate email or messaging app, and verify the recipient. Include a short explanation and relevant due date or context in the message. Do not include passwords or payment-card secrets. The selected third-party app controls delivery and may store the attachment under its own privacy terms.
If a share option is missing, save first and attach the file from inside the destination app. If the recipient cannot open it, resend after confirming the PDF works locally or use another agreed delivery method.
Next steps
Use the complete documentation for field definitions and the Help Center when something fails. Read the FAQ for cost, compatibility and privacy answers. The safest learning approach is to create a test document with invented, non-sensitive data before using real customer details.
